Expedited Software Procurement Process for Renewals
August 8, 2025
We're making it easier to renew software that's already been approved. Based on your feedback, input from leadership, and compliance objectives, we've simplified the process—saving you time while still meeting regulatory and cybersecurity requirements.
We've created a new, searchable Software Register that lists software already approved through this process, making it easier to find what you need.
Why is This Changing?
We’ve removed redundant steps for previously approved software to make renewals quicker and easier. Our goal: a more efficient workflow, with less effort required on your part.
How It Works
The request process remains the same. When you submit a request to purchase software, you will be prompted to check the Software Register.
- If the software is on the Register: A shorter, expedited form will automatically appear. You'll simply answer some sensitive data questions and describe your business use case. Once submitted, you will receive final approval much more quickly.
- If the software is NOT on the Register: You will continue filling out the standard, longer form.
A key change in this new process is the removal of the Department Administrator approval step. User feedback indicated this was a major cause of delays, and removing it will significantly speed up the workflow.
This new process is designed to get you the software you need, faster.
Next Steps
We are partnering with the UA PIT Crew to continue improving this process. This fall, we'll focus on identifying needed improvements, refining how we collect information from requesters, and making sure users and reviewers aren't overburdened.
